Booking a trip with us is simple and seamless. Here’s how our process works.

From your first enquiry through to your trip’s final departure, we’re on hand for any support, guidance and information you may need. Every trip we plan is curated and planned with your input so that it suits your specific preferences, needs and interests.

Step One

Initial enquiry

After your initial enquiry by email or phone call, we gather the facts around the trip you’re envisioning including your interests, country of interests, time frame, when you want to go and who will be in your group.

Step Two

Itinerary planning

After gathering the necessary information, we compile a rough itinerary with our initial suggestions. Based on your feedback, we’ll make edits to the itinerary and costing to create a final draft.

Step Three

Deposit & payment

Changes to the itinerary can be made up until payment of the deposit, which is 25% of the trip cost. Final payment is due 90 days before the trip departs.

Step Four

Pre-departure

We send final departure information to you, along with the safari portal brochure and final invoice. Diane Dale is our point of contact in the UK for international enquiries, along with local travel representatives at each destination.

How long does the planning process take?

Privately guided trips normally take 18-24 months in advance to plan subject to the guides and destination availability, and the trip itinerary and costing typically takes around four weeks to finalise.

Can I make changes once I’ve booked?

You can make changes to your itinerary up until the deposit is paid, after which your trip details are considered confirmed and unchangeable. 

What is the cancellation policy?

Deposits are non-refundable, so we encourage you to take out cancellation insurance to cover your own travel risks.

Do you charge for itinerary planning?

No, we don’t charge a fee for itinerary planning.

Should I take out travel insurance?

With the uncertainty surrounding world travel, we encourage all our guests to take out travel insurance to cover them for delays, cancellations, theft or other unavoidable events.

Do I have a point of contact while travelling?

Diane Dale is your point of contact in the UK while you’re travelling, along with local representatives at each destination.
